AI for Solar Installers Quotes Fast. The Rebate Dies in the Camera Roll

The job was finished by 2pm on a Thursday in Geelong. Thirteen panels, an inverter, a battery in the garage, a happy customer waving from the driveway.

Three weeks later the claim came back. The battery's labelling photo was missing. The inverter serial was in the photo, but blurred. The customer's signature was on the wrong version of the form.

The customer had already paid the discounted price. The discount was money Dean's business had fronted, and it was not coming back until someone fixed the paperwork.

Dean is a composite rather than a client: two install crews out of Geelong, a sales rep, an office manager three days a week, and a shared photo album that every installer is meant to upload to. That month a vendor showed him what AI for solar installers usually means: a bot that reads a customer's power bill, sketches panels on a satellite image of the roof and sends a quote in minutes. It was a good demo.

It would have won the Geelong job faster. It would not have taken the photo.

In solar, you are paid twice: once by the customer, and once by the paperwork. The second payment is the one that goes missing.

Where AI for solar installers is being pointed

Instant quotes, proposal design and lead chatbots are the pitch right now, and I will be fair to them. I build these systems for Australian businesses. If your enquiries wait two days for a quote while the installer down the road replies the same afternoon, fix that.

But a faster quote only fills the top of the funnel. The cash you lose sits at the other end, after the crew has packed up the ladder.

Why the rebate claim stalls

A solar job at a small installer is not one job. It is a relay:

quote → deposit → network approval → install → photos and serials → electrical certificate → customer signatures → rebate claim → payment

Each handover is a chance for something to drop. The photos live on three phones. The serial numbers are in a photo, a docket and somebody's memory. The electrical certificate is filled in at the end of a long day. The customer signs on a tablet, or a PDF, or not at all because they were at work.

At Dean's, nobody owns the relay. The installer owns the roof. The office manager owns the claim, but only finds the gaps when she sits down to lodge it, days later. By then the crew is on another roof forty minutes away.

And the bar keeps rising. The Clean Energy Regulator has added photo requirements for battery labelling this year, and it can remove installers from the battery rebate scheme when installs fall short of the standards. A missing photo is no longer an admin nuisance. It is a compliance record.

Nobody decided to leave money sitting in a camera roll. It is simply the step nobody is measured on.

The cheapest time to fix a missing photo is while the installer is still standing next to the inverter.

Run the numbers on your own claims

Treat this as arithmetic you fill in yourself.

Say you finish forty installs a month. Say one in ten claims comes back incomplete. Say each of those carries three thousand dollars of discount you have already given the customer. That is four claims and twelve thousand dollars sitting unpaid each month while someone chases a photo or a signature.

Say each chase takes your office an hour and a half of calls, emails and resubmitting. That is six hours a month. And when the only fix is sending someone back to the roof, add a half day of a crew and a ute.

Every number there is invented and yours to replace. Pull your last twenty claims and check two things: how many came back, and how many days it took to get paid. The shape survives any honest figure.

What AI for solar installers should do first

Fair question: why AI, and not a better checklist app? A checklist works when someone ticks it honestly at 4pm on a hot roof. The slow part is checking. A model can look at a photo and tell whether the serial number is readable, whether the label is in frame, and whether that serial matches the one on the docket. A checkbox cannot.

So the system watches every job from install day to payment. It reads the photos, dockets, certificates and forms as they come in, and keeps one status per job:

  • It checks each required photo is present, in focus and showing what it should.
  • It matches serial numbers across photos, dockets and the electrical certificate.
  • It flags missing signatures and outdated form versions before anything is lodged.
  • It pings the installer while they are still on site, and drafts the follow-up to the customer for a person to send.

Every morning the office gets one list, oldest risk first:

  • Nguyen, Lara: battery label photo missing, crew still in the area tomorrow
  • Brooks, Belmont: pack complete, ready to lodge
  • Ahmed, Torquay: inverter serial on docket does not match photo

Nothing is lodged or signed on its own. A person checks the pack and decides when it goes in.

Measure two things each month: claims that come back incomplete, and days from install to payment.

Automate the checking, never the sign-off

No system should sign a declaration, lodge a claim or tell a regulator anything on your behalf. Those calls belong to you and your accredited installers. Their name is on the paperwork, and so is yours. I build the AI. You keep the business, and the accreditation.

The software tells you which job is missing a photo. Your installer is the one who goes back up the ladder.

What AI for solar installers costs

Work down this list and stop at the first rung that works.

  • The features already in your job management or install app. Required photo fields and mandatory signature steps are often there, switched off. Turn them on first.
  • Your rebate agent's own checking tools. Many will flag problems before you submit. Ask what yours offers and use it every time.
  • A custom build that reads photos, dockets and forms across the systems you already run, checks them against each other, and nudges installers on site. A few thousand up to the low teens of thousands, depending on how many systems it must talk to.

Hold that against a year of fronted discounts waiting on a blurry photo.

I broke down where the running costs hide in what AI actually costs a small business. If you also run electrical or general trade crews, the same pattern of work done but never billed shows up in AI for tradies.

The Australian layer

Two cautions. First, the rules change. Rebate settings, photo requirements and network approval processes move, and they differ between distributors. The system should check against the current requirements you give it, and someone in your business should own keeping them up to date.

Second, photos of a customer's home, their address, their power bills and their signatures are personal information. Ask any vendor where that data is stored, whether it trains someone else's model, and whether it leaves Australia. Get the answers in writing.

Common questions about AI for solar installers

What should a small solar business automate first?

Compliance pack checking on install day. It runs on jobs you already do, and one number tells you inside a quarter whether it worked: claims that come back incomplete.

Is an AI quoting tool worth it?

If you are losing jobs on speed, yes. But check what happens after the install first. A fast quote does not help if the job takes a month to get paid.

Will it replace my office manager?

No. Knowing which customer to call and how to ask nicely is the job. Squinting at serial numbers in two hundred photos is not.

Go back to the Geelong job. The crew did good work. The customer was happy. One photo just never made it off a phone.
